You can copy and share from digital books, journals, magazines, trade press and periodicals from publishers covered by the Business Licence. This allows the copying of text and still images published in electronic form on approved publication and publisher websites.
Copies can only be made and shared within your organisation:

<h3>Images</h3>
Even if images are available online, they’re protected by copyright.
To copy and use an image you need to have permission to do so. Most commonly permissions will be granted via:
* a licence through a Collective Management Organisation (CMO) such as your CLA Business Licence.
* a Creative Commons licence.
* direct permission from the rights holder.
* use of content in the public domain.
Each of these will have terms and conditions on how the image can be used.
You can reverse-search an image to find out who owns it. You can do this on Google, or you can apply for permission to reuse an image found online via PLSclear.
With your CLA Business Licence you can copy still images extracted from publications covered by the Business Licence under the following conditions:
* You can only copy images from material your organisation ''owns or subscribes'' to.
* If you are only copying images use your best judgment to ensure the amount you copy ''does not exceed 5%'' of the journal, magazine, periodical or book.
* If you are copying an extract of text with images the limits are:
* ''one article'' from a single issue of a journal, magazine or periodical, ''or 5%'' of the issue if greater
* ''one chapter'' from a book, ''or 5%'' of the book, whichever is greater.
* Only UK based employees can make copies.
* Only UK based employees can receive a photocopy.

<h3>Link/Website</h3>
You can share links to websites, and digital content covered by the CLA Business Licence:
* The websites have to be published by a ''participating digital publisher'' or an ''otherwise approved site''.
* You can only share links to ''still images and text''. Links to other content like audio, video, databases etc. is not permitted under this licence.
* You can share links internally with employees over the organisation’s email and intranet.
* Links ''cannot be shared externally'' outside the organisation, for marketing or promotional purposes, or hosted on externally facing company websites.
Links to random internet sites are not covered by this licence. However, sharing links to a web page typically does not infringe copyright. But please note:
* In the UK, ''copyright protection is automatic'' when a work is created so the text, images, video and other material will be covered by copyright and so can’t be copied.
* While sharing links is generally permissible, check the website’s ''terms of use policy''. Some websites may have specific rules regarding linking to individual pages.
* Reproducing images directly from a website could potentially constitute a copyright infringement, so ''check with the rightsholder and get the necessary permissions'' before using images.

<h3>Ownership</h3>
You can only copy material that your organisation ''legitimately owns'', or has paid a copyright fee for, such as document delivery or press cutting services.
That is, the organisation must:
* ''subscribe to'' the journal or online publication being copied and have been a subscriber for the period covered by the issue being copied.
* ''have purchased the book or off-line publication'', or been presented with it – for example, a controlled-circulation magazine.
In general, you can copy from material which your organisation has:
* ''purchased'' as part of a current or past, print or digital, ''subscription''.
* ''purchased as a single item'', such as a book.
* ''has been received from press cuttings and PR agencies'' (however, newspaper content in both print and digital format is excluded, except titles represented by Knowledge Bylanes and Syndigate, details of which are available on CLA’s website).
* ''has been supplied by or via a third-party licensed document supplier/aggregator or a publisher’s pay-per-view website'' (if the publisher has opted in to the Licence) and where a copyright fee has been paid.
The Licence does //''not''// allow you to copy from an employee’s personal subscriptions unless the employee permanently donates the copy to your organisation.
If you want to copy from a publication that is covered by the CLA licence, but your organisation does ''not'' own or subscribe to it, you must seek ''permission directly from the rights holder''.

Only workers engaged by the organisation and located in the United Kingdom are permitted to make copies, including:
* Employees.
* Agency workers.
* Consultants.
To copy digital content you must have permission to access the organisations email and secure network/intranet, and have your identity authenticated at the time of login.

You can only share copies ''internally'' with employees, consultants and agency workers of your organisation. They //''cannot''// be distributed to ''external third parties or the public'', with the exception noted below (please note the difference between what you can share with UK employees and international employees):

* ''All employees'', consultants and agency workers ''in the UK and international offices'' can ''receive scanned and digital copies'' provided these copies are sent and accessed via your ''organisation’s email or secure network''.

Copies may be sent to external organisations in the UK for the purposes of regulatory or patent submission.

<h3>How much can you copy?</h3>
On each occasion you may make paper or digital copies as follows:
<h3>Paper Copies:</h3>
* ''One complete chapter'' from a book.
* ''One article'' from a single issue of a journal or magazine.
* In the case of a published report of judicial proceedings, ''the entire report of a single case''.
* ''Or 5%'' of the publication, if that is greater than the above.
<h3>Digital copies:</h3>
* For digital copies scanned from a print publication ''the limits are the same as for paper copies''.
* For digital copies from a digital publication that is organised in a similar way to a printed publication, with ''discrete chapters or articles, the limits are the same as for paper copies''.
* For digital copies where the material is non-linear, you should ensure, as far as is practicable, that the amount you copy is ''approximately equivalent to the limits set out above''. A degree of informed personal judgement is required when ascertaining how much may be copied under the licence.
<h3>What constitutes 5% of a publication?</h3>
It is important for you to consider what makes up an individual work. Do not assume that a website or digital publication is one work as it will be made up of different parts.
As a general rule, the 5% should be applied to a discrete item, for example:
* A ''printed journal issue''.
* A ''printed book''.
* If digital material has an identifiable book, journal, magazine or periodical structure then ''book or issue'' should be used.
* A ''PDF document'', such as a white paper or report.
* An ''HTML page'', or ''series of pages'', making up the work.
* Documents retrieved from a publishers database, an item may be ''a single retrieved document or a series of documents'' depending on how the database is structured and the material presented.
The ''5%'' can either be ''a single extract or multiple extracts taken from different sections'' of the publication.

There are specific permitted uses for copies including internal information purposes, employee training, and regulatory filings. Commercial re-use is //''not''// allowed under the licence terms.

You should always ''acknowledge the creator'' (copyright holder) when you copy and share content.
Best practices for acknowledging copyright holders when using content under this licence are:
1. Retain any ''copyright notices'' associated with the content, such as:

4. Have a general "''Copyright License Notice''" attributing the CLA licence and noting that ''all works are protected''. For example: "This document contains materials licensed under a CLA licence. All works remain protected by copyright in accordance with the licence terms."
So, in essence - ''make copyright information readily available'' alongside content extracts by retaining existing notices and adding general statements. This ''attributes rights'' to the appropriate party as intended by the licence for internal corporate reuse.

The ''rights holder'' is the person or organisation that ''holds the copyright for the material''. In order to use their material you must get the ''appropriate permissions'' to do so.

<h3>Creative Commons</h3>
Creative Commons is a type of copyright licence that usually allows anyone the right to ''freely use the work'', provided they ''acknowledge the owner''. They provide a way for creators to grant permission to use their creative work under copyright law. These licences allow you to ''share, use, and build upon'' copyrighted works.

<h3>Public domain</h3>
Most works enter the public domain ''70 years after the creator's death'', meaning they can be ''freely used without copyright protection''.
Upon the death of a creator, the copyright to thier works will pass to their estate. To use it you must either have the ''appropriate licence'' or ''permission from the'' [[rights holder->Rights holder]].
After 70 years copyright expires, the creative works effectively become public property and ''enters the public domain''. At this point, any person or business can use a public domain work ''without getting permission''.

<h3>Where can you store copies?</h3>
You can store digital copies on your ''local hard drive or personal server space'' on the organisation's secure network.
You can also store digital copies on the organisation's ''secure network'' for access by employees. These may be indexed and searchable for ''internal sharing'' but may //''not''// be stored with the intention of creating an electronic library or similar corporate information resource.
UK based employees can ''download copies'' stored on the network locally, ''print'' them or ''send by email'' to colleagues.
Copies stored this way can be ''sent to international colleagues via email'', but they may //''not''// ''print, download or forward'' them. They can view them on the ''intranet/network''.
Copies may be held, for longer, in a project- or product-based store, provided it is ''only accessed by employees'' within the same work group.
On termination of the licence all stored copies ''must be deleted''.
